Guidelines for Preparing Copy for 
Publication in the Chesapeake Region Digs
Computer Platform, Application, Disk, and Files
  • Files created on any of the major operating platforms (DOS, Windows, or MacIntosh) will be accepted. Please indicate what platform files submitted were created on.

  •  
  • Copy should be written in — or translated to — a common word processing program such as Microsoft Word or Corel WordPerfect. Please identify the word processing program used for any submitted files.

  •  
  • Each story should be a separate file.

  •  
  • Files can be sent to the CHRVA Communications Chair electronically or via U.S. Mail.  Acceptable media for U.S. Mail includes 3.5” high-density floppy disk, 100MB Zip disk, or CD.

  • If using U.S. Mail, please enclose a hard copy (paper print-out of the file) of each story with the disk.

  • See the Digs Submission Policy for specific information regarding how and where to submit documents for publication in the Digs.
Copy and Formatting Guidelines
  • Always spell-check document.

  •  
  • Never type in all capital letters.  Exceptions to this rule would be: abbreviations (AZT), acronyms (UNICEF), or where copywrited or trademark terms are properly capitalized (LIFE).

  •  
  • Do not use the tab key at the beginning of paragraphs. If you need to see the first line of a paragraph indented for hard copy editing, use the formatting feature of your word processor to create a first line or hanging indent.

  •  
  • Use one paragraph return at the end of a paragraph. (Extra paragraph returns will all need to be individually deleted in layout stage because paragraph formatting in the layout program handles the space between paragraphs.)

  •  
  • Never use a hard/paragraph return to start a new line (except for poetry, song lyrics, etc.) .  (Once the copy is formatted for the newsletter, the line breaks will be different.)

  •  
  • When creating a table, it is preferable to use the table feature of your word processor to automatically format the table. However, if you wish to manually create a table, separate entries in columns by one tab and one tab only regardless of how this makes the table appear on your screen or hard copy.

  • Leave all type flush left.
